NORTH COAST GLAMPING – TERMS & CONDITIONS

1. Definitions

In these Terms & Conditions:

  • “We”, “Us”, “Our” means North Coast Glamping
  • “You”, “Guest”, “Customer” means the person making the booking and all members of their party
  • “Booking” means the reservation of accommodation with North Coast Glamping
  • “Accommodation” refers to tents, bell tents and all associated equipment provided by us
  • “Event” refers to the Isle of Man TT or any related event connected to your booking
  • “Hire Period” means the dates of your stay as confirmed in your booking confirmation

2. Booking & Confirmation

A booking is only confirmed once:

  • Full payment has been received, and
  • A confirmation email has been issued by North Coast Glamping

We do not accept provisional or verbal bookings.

Your booking includes accommodation only unless otherwise stated. Event tickets or transport are not included.

3. Payment Terms

  • Full payment is required at the time of booking
  • We do not offer payment plans
  • Failure to complete payment may result in cancellation of the booking

All payments are processed securely via approved payment providers.

4. Cancellation Policy

We understand that plans may change and have set out a clear and fair cancellation policy below.

Cancellation requests must be made in writing to info@northcoastglamping.uk The date we receive your request will determine eligibility for any refund.

More than 2 calendar months before arrival

Full refund of all monies paid.

Between 2 calendar months and 1 calendar month before arrival

50% refund of the total booking value.

Less than 1 calendar month before arrival

Bookings are non-refundable.

No-Shows

Failure to arrive without prior written notice will be treated as a cancellation and no refund will be issued.

Booking Transfers

Bookings may be transferred to another guest upon written request.

All transfers are subject to approval by North Coast Glamping and must be completed before arrival.

We reserve the right to refuse a transfer if incomplete or inaccurate guest information is provided.

Amendments

Requests to amend booking dates, accommodation type or guest details are subject to availability and may incur additional charges.

We are not obliged to accept amendment requests.

Cancellation by North Coast Glamping

If we are unable to provide your accommodation, you will receive a full refund of all monies paid.

Our liability is limited to the total amount paid for the booking.

Event Changes & Cancellation

North Coast Glamping operates independently of the Isle of Man TT organisers.

Changes to race schedules, road closures, weather disruption or alterations to the event do not automatically entitle guests to a refund.

If the Isle of Man TT is cancelled in its entirety, we will assess the situation and offer appropriate options which may include refunds, credit or booking transfers, in accordance with applicable consumer law.

5. Check-In & Check-Out

  • Check-in: from 3:00pm
  • Check-out: by 10:00am

Late check-out may incur additional charges.

Guests may leave vehicles on-site where permitted but must vacate and clear all belongings by check-out time.

No refunds are provided for early departures.

6. Accommodation Use & Responsibilities

Guests agree to:

  • Take responsibility for accommodation during their stay
  • Keep tents and equipment in good condition
  • Respect other guests and site rules

Guests must not:

  • Smoke inside tents
  • Use open flames, cooking equipment or BBQs inside tents or restricted areas
  • Move or modify equipment without permission

Guests are liable for any loss, damage or cleaning costs caused by themselves or their party.

7. Site Rules & Behaviour

We aim to provide a safe and enjoyable environment for all guests.

We reserve the right to:

  • Remove any guest engaging in antisocial, unsafe or illegal behaviour
  • Do so without refund where necessary to protect other guests or staff

Guests must respect quiet hours and site rules communicated on arrival.

8. Safety

Guests must follow all safety instructions provided by staff.

We are not liable for injury caused by misuse of facilities, equipment, or failure to follow instructions.

9. Loss, Theft & Damage

We are not responsible for:

  • Loss, theft or damage to personal belongings
  • Items left unattended

Guests are responsible for any damage caused to accommodation or site facilities.

We reserve the right to charge for repairs, cleaning or replacement items.

10. Liability

Nothing in these Terms excludes or limits liability for:

  • Death or personal injury caused by negligence
  • Fraud or fraudulent misrepresentation
  • Any liability which cannot legally be excluded

Subject to the above, our total liability shall not exceed the total amount paid for your booking.

11. Force Majeure

We are not liable for failure to perform obligations due to circumstances beyond our reasonable control, including:

  • Severe weather
  • Flooding or fire
  • Government restrictions
  • Pandemic or public health emergencies
  • Transport disruption
  • Utility failures
  • Civil unrest
  • Acts of God

In such circumstances, we may offer alternative arrangements, booking transfers, credit or refunds where appropriate.

12. Changes to Bookings or Operations

We reserve the right to make operational changes where necessary.

Where possible, we will provide equivalent or improved accommodation.

13. Complaints

If you experience an issue during your stay, you must notify us as soon as possible so we can resolve it.

Complaints after departure must be submitted in writing within 14 days.

14. Privacy & Data Protection

We handle personal data in accordance with UK GDPR.

Your data is used solely for:

  • Managing bookings
  • Communicating essential stay information
  • Legal or regulatory requirements

We do not sell personal data.

15. Vehicles & Parking

Vehicles are parked at the owner’s risk.

Access may be restricted during peak race times for safety and operational reasons.

16. Site Access & Wristbands

Only guests with valid wristbands are permitted access to the site.

Security checks may be in place for guest safety.

17. External Vendors

Third-party vendors operating on or near site are independent businesses.

We are not responsible for:

  • Pricing
  • Availability
  • Food safety or allergens

18. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
